When an own registration system is worthwhile for your club
For many clubs, an off-the-shelf booking tool is the right place to start. It can be set up quickly and works well for simple courses with a fixed number of participants. Things become difficult when your club’s processes do not fit the provider’s model, when data has to be maintained twice or when the cost per booking increases with the number of registrations.
Typical reasons for choosing a customised solution include courses where members receive different conditions than guests, paid activities whose fees are billed through the club management system, and trips for children and young people that require additional information from their legal guardians. Simple tools also quickly reach their limits when several instructors are to manage their own courses.
A customised system can also be integrated seamlessly into your club website. Visitors stay on your address, see your branding and do not have to create another account with an external provider.

Overview of available places
Interested parties can see at a glance which courses still have places available. The number is updated with every registration and cancellation.
Waiting list with automatic advancement
If a course is full, further registrations are placed on the waiting list in the order in which they are received. If someone cancels, the next person moves up and is automatically notified.
Automatic confirmation emails
Every registration, cancellation, and move up from the waiting list triggers an appropriate email. The board no longer has to send confirmations manually.
Administration interface
Instructors and the board create courses, view participant lists and export them when needed. Permissions can be assigned so that each person only sees their own courses.
Integration with the club management system
The interface of club management software can be used to synchronize member data and transfer registrations. This eliminates duplicate data entry.
Paid courses
Paid offerings are marked as such, and the fee is passed on to billing. This keeps the bookkeeping in one place.
Data minimization
The form only asks for what the club actually needs for the respective course. This makes GDPR compliance easier and shortens the registration process.

Capture processes
During the initial consultation, we review your current registration processes, from the announcement to the participant list. This reveals which steps should be automated and which special cases exist.
Concept and proposal
On this basis, I describe the functions, roles and interfaces and create a written proposal with a clearly defined scope of services.
Development and testing
I develop the application, usually with Next.js and TypeScript, and deploy it to a preview environment. There, you can test it with real courses before the first registration is received.
Getting started and training
At the start, I introduce the board and instructors to the administration interface. Afterwards, you can create and manage courses independently.
Operation
If you wish, I will continue to operate the application, install updates and adapt it when your processes change. The applications run in Docker containers on a server.
From practice: registration systems for clubs and educational providers
For clubs and educational providers in Schleswig-Holstein, I have developed and also operate several online registration systems. These include solutions for an equestrian club, a district youth council and a sports club.
All systems are Next.js applications with an administration interface and automatic confirmation emails. In one case, course registration with a waiting list runs via the interface of club management software, including paid courses.
The requirements differ significantly. A riding club organizes things differently from a youth association with trips, and a sports club with many departments needs different permissions again. That is exactly why each system was created to fit the processes of the respective organization.
Registration system, members' area or new club website
An online registration system manages participation in activities. If you are mainly concerned with internal announcements, dates and results for members, a members’ area is the right solution. For the Lollfußer Schützengilde, I built such an intranet for announcements, dates and shooting results alongside the new website.
Public dates can also be automated. At the Segel-Bundesliga, upcoming events are entered centrally and updated automatically, while past events remain available with their results.

Frequently asked questions about registration systems for clubs
Can the registration system be connected to our club management software?
That depends on whether your software provides an interface. Many programs provide an API through which member data and registrations can be exchanged. I check this in advance based on the manufacturer's documentation.
How does the waiting list work?
If a course is fully booked, further registrations are stored in the order in which they are received. When a place becomes available, the next person moves up and automatically receives an email.
Can non-members also register?
Yes, if you wish. For guests, different required fields, fees or their own quotas can be defined.
What needs to be considered when registering children and young people?
For minors, details and consent from their legal guardians are generally required. The form can specifically request this information and display it only where it is needed.
Who operates the system after launch?
If you wish, I can take over operation with updates and adjustments. Alternatively, the application can run on your club's server.
